Who is responsible for your data
Sealy Distribution Ltd trading as Clwyd Waste Solutions is the data controller. Registered in England and Wales, company number 15490305. We are registered with the Information Commissioner’s Office (ICO), registration reference ZC264323 (Tier 1). Customer subscription payments are collected by card through our payment provider, Stripe.
What we collect
- Name, mobile number and email address, and any nominated alternative contact you give us.
- Your address, postcode and the property’s Unique Property Reference Number (UPRN).
- Your property’s council collection schedule, looked up from public sources.
- Records of collections, including notes or photos where a bin could not be emptied, was overfilled or contained prohibited items.
- Subscription, billing and payment status, including card payment status. Full card and bank details are handled by our payment provider and not stored by us.
- Quote and contact enquiries you send us.
- The version and time you accepted our terms and policies.
Why we use it and our lawful basis
- To check whether we can serve your home, assign your route and provide the service you ask for (contract, or steps you ask us to take before a contract).
- To run collections and send service messages by email and SMS, including reminders, payment notices, cancellation confirmations and waiting-list offers (contract).
- To manage the waiting list you ask to join and contact you when a place becomes available. This is part of the service process you requested, not unrelated marketing (steps at your request before a contract, and our legitimate interest in running a fair waiting list).
- To collect card payments and keep billing and accounting records (contract and legal obligation).
- To meet legal and regulatory obligations for waste handling, including duty-of-care and waste-source records (legal obligation).
- To handle complaints, claims and protect our legal rights (legitimate interests).
We do not send marketing messages without your separate consent.
Who we share it with
- Flintshire County Council’s official public bin-day service — the address list for your postcode, your property reference and your council collection schedule.
- Stripe — card payment processing.
- Lovable / Supabase — website hosting, database and secure storage.
- Brevo — sending service emails and text messages.
- Authorised waste receiving facilities — collection source addresses where waste source or compliance information is lawfully required.
Some providers may process data outside the UK; where they do, appropriate safeguards are in place. We do not sell your data.
How long we keep it
- Address checks that do not lead to a subscription or waiting-list entry (and their address records): 30 days.
- Secure manage-subscription links and related request logs: deleted 7 days after expiry.
- Routine collection and evidence photos: 90 days, unless we need them longer for a complaint, claim, legal or regulatory reason.
- Waiting-list entries: up to 12 months, then deleted unless converted to a subscription.
- Quote enquiries, message delivery records and audit logs: kept while needed to provide the service and meet accounting, legal and complaint-handling obligations, and reviewed periodically.
- Core contract, billing and payment records: up to 6 years where reasonably necessary for legal, tax and accounting purposes.
Cookies and storage
We use only strictly necessary storage: a secure session for staff sign-in and the security features needed to run the site and take payments. We do not use analytics, advertising or tracking cookies. If that changes, we will ask for your consent first.
Your rights
You can ask to access, correct or delete your data, restrict or object to its use, or ask for a copy to take elsewhere. You can also complain to the Information Commissioner’s Office (ico.org.uk). Email clwydwaste@gmail.com to exercise any of these rights.
